In this video, I talk about dealing with negative emails, and I provide some tips on how to respond to an email professionally.

If you want excellent advice on how to respond to emails professionally, I recommend you look at “How to Make Friends and Influence People,” which is an older book by Dale Carnegie.

From my point of view, there are several good ways to deal with negative or hurtful emails.

1. Do not respond to rude emails. Often, hurtful and negative emails are merely ways for people to vent their frustrations at you. The frustrations can be caused by many things that are not related to you. If they continue to persist, you can just say that their emails got lost in your spam filter.

Remember that if you reply to an email angrily, that is permanent and people will dwell on that email for hours, if not days.

2. Respond, but say, “can we take it offline.” Email, or any other form of indirect communication, is awful for communicating tough conversations. The best way to address negative emails is to have a face-to-face meeting that tackles the issue.

3. The best response to negative emails in a professional way is in a non-professional way. Sometimes you have to address that the negative email was hurtful, or explain how you felt about the email. Perhaps, you can put the ball back in their court (i.e. make them feel guilty for the type of hurt they put on you)? Why not ask a few questions to get to the bottom of the real issue, such as “I sense that you are hurt, why do you feel this way?”

4. Respond in a sympathetic but systematic tone to an angry email. You can merely acknowledge their frustrations, but then address the reasons why you have acted in the way that you did.

What is critical with all of these issues is that you directly address the problem in the best way that you can. Responding to an angry email from your boss, a client, or student is not easy, but you have to begin by addressing the issue in the right way for you. The other thing to remember is that you do not have to put up with such email non-sense for a long time. If you have a regular offender, try to create boundaries from the offender.
